Sealand Gear - Finance Assistant

Below you will find an outline of the key functions that will be covered in the job at hand. With that being said, being the young and fast growing company that we are, be prepared to get stuck in across a range of activities as we scale this epic business. 

Responsibilities include:

  1. Suppliers -  Managing the process to oversee all suppliers, ensure they are on 30 day terms where possible. Manage a PO process for all buying and then manage the weekly payments to those suppliers. With all being captured in Xero.
  2. Customers  - Managing all invoicing, and debtor chasing and reflect the position in the bank and ultimately on our creditor reports  
  3. Stock – Own the stock on hand function, in partnership with the Stock Manager, which includes materials through to finished stock.  
  4. Cashflow – Maintain a daily cash flow document and process which ensure the business has a clear cashflow view 2-3 months ahead at all times. 
  5. Online banking: Managing all the businesses online banking profiles. Printing statements daily. Capturing all payments received and monthly expenses incurred from the bank statement on to Xero within the correct expense category as this affects the accurate calculation of monthly costs & budgets. Capturing all EFT and salary payments made. Completing a full monthly bank recon and ensuring that the opening and closing monthly bank balances match up to the figures indicated on Xero.  
  6. Payroll: Capturing salary payments once a month along with all monthly garnish orders etc. Calculating and doing the monthly PAYE on E- filing as well as authorising payment thereof.
  7. Reports & Budgets - Completing the Monthly profit & loss reports for all the businesses as well as completing the books monthly up until a trial balance as well as being able to print out a monthly balance sheet. This was done to provide a breakdown of income received and expenses incurred along with all the necessary paperwork monthly. Printing the Vat reports from Xero and calculating  the business monthly vat payment as well as preparing and authorisation thereof.    
  8. General Administration -  Being the key oversight on all administrative functions in the business and looking over the relationships with key partners/ stakeholders in this regard. Ie: UIF-TERS / Bargaining council. Etc.
  9. Reporting: In completing all of your monthly tasks above you will report to the Managing Director with direct oversight from a consultant CA who will provide guidance and mentorship on specific skills areas relating to your role.
